Job Title: Office Manager for the City of Lakes Family Health Team (Walden Clinic)
Accountable To: Walden Physicians
Date: Application Deadline – Dec 15, 2023
Full-time: 37.5 hours per week
Hours: 8:30 am-4:30 pm
Hourly Wage:  $23 – 25. PLEASE note this is not a HOOP associated position

Job Purpose:

The Office Manager is responsible to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety.

Key Areas of Responsibility and Duties:

 

  • Schedule meetings and appointments using Outlook, and EMR (Electronic Health Record)
  • Troubleshoot difficult patient/staff relationships and provide general administrative support to our employees.
  • Serve as the point person for office manager duties including:
    • Facilities, liaise with facility management,
    • vendors including cleaning and security services to maintain the office condition and to arrange necessary repairs
  • Plan In-house or Off-site activities, meetings
  • Back up to Reception, Runners as required to cover absences
  • Check/respond to EMR (Electronic Medical Record) messages and emails
  • Process incoming and outgoing mail
  • Schedule patient appointments and manage patient records and test results, consults
  • Order Office supplies and track
  • Reconcile bills electronically as required
  • Occasionally run errands
  • Attend weekly physicians meeting to address potential issues
  • Attend quarterly Office Manager Meetings
  • Referrals – provide backup to office clerk
  • Track Petty Cash and Third-Party billing
  • Update the ONCALL and circulate
  • Track and bill WSIB as required
  • Collate payroll and new hire paperwork
  • AHC – After Hours Clinic – arrange schedule and manage student schedules
  • LEG Administrator (Local Education Group_ – provide support to the Lead Leg Physician. Support learners and physician faculty development and scholarly activity (up to (10 hrs./week)
  • Coordinate with IT (TELUS, Northern Voice and Data) for phone and computer issues.

Qualifications:

 

  1. Two (2) years of related experience as a Front Office Manager or Office Administrator in a medical setting would be an advantage
  2. Post-secondary diploma or certificate in relevant field of study
  3. Must have excellent client service skills
  4. Able to work cooperatively in a team environment
  5. The following attributes would be considered a significant asset:
    1. Experience working in a family practice
    2. Experience using Electronic Medical Record system
    3. Bilingual (English and French)
